Background
Coastal Housing Group is a not-for-profit industrial and provident society, existing only for the benefit of the community, operating in Swansea, Neath Port Talbot, and Carmarthenshire.
Coastal formed in 2008 after a merger between Swansea Housing Association (formed 1978) and Dewi Sant Housing Association (formed 1991) with the objective of regenerating older stock and building new houses to improve the local community and provide good quality affordable homes.
The Challenge
The customer does not require all historic documents to be scanned at present, however the Development Department identified a need for digitising their contract documents on an on going basis, where the contractor has not provided them in electronic format.
The Solution
Transmedia provide a document scanning service to convert hard copy files to searchable PDF images on an as and when required basis. Indexing is carried out in accordance with the customer's requirements - for development and contract documents, this is usually an address or scheme title. Transmedia take instructions from the client regarding the return, confidential destruction or storage of the files, on a job by job basis.
The Association makes use of Transmedia's pick-up and delivery service with the hard copy files being returned by our secure transport, along with a branded CD containing the digitised versions.
