A growing number of our clients are taking advantage of our secure collection and return service when transporting their documents and material to our premises for scanning and archiving.
From collection until completion of the process, the documents/data will be handled in extremely safe and secure conditions. Transportation is by company owned vehicles, of solid construction, water tight, lockable and with a manufacturer’s alarm.
Our vehicles are fitted with GPS tracking systems which allow us to see the exact location and speed of each vehicle and also if the ignition is on or off.
Drivers are thoroughly vetted to BS 7858:2012 and have signed confidentiality agreements. The vehicles have hands-free kits as our drivers carry mobile phones for ease of contact whilst on the road.
Each batch of documents/data for collection will be secured prior to removal from your site. Vehicles have facilities to restrict container movement whilst in transit, material is securely locked inside the vehicle and the vehicle is never unmanned.
Should a breakdown occur, the drivers remain with the vehicle/documents at all times.
In the unlikely event that the documents/data need to be removed to a second vehicle, this task would be performed only by the drivers and other Transmedia personnel who have authority and access to both vehicles. This procedure avoids damage and unauthorised access, copying, alteration, substitution or disclosure.
A full audit trail will be maintained at all times. This is achieved by the use of our Workflow Management System, InteFlow, which has been fully approved by our Quality Assessors, SGS Yarsley.
InteFlow traces the job from the quotation stage right through to the delivery back to the customer.
