Amec Foster Wheeler (Aberdeen) are a multi-national operation in 50 countries, having been in existence for over 150 years. They serve oil & gas, clean energy, environment & infrastructure and mining markets offering consultancy, engineering, project management, operations and construction services, project delivery and specialised power equipment services their customers worldwide.
Amec had a vast amount of boxes in storage with another provider and had to retrieve boxes frequently to access their information. They were having issues with these retrievals, often retrieving the wrong documents due to incorrect referencing. The cost of their storage/retrieval service was also of great concern.
Transmedia put in place a 4 year project plan, which required the scanning of 15,000 archive boxes. We currently scan a set quantity of archive boxes every month (approx 600,000 images) and have done this for the past two years, with another 2 years remaining on the project.
The material scanned has included various paper documents such as purchase ledger invoices, HR personnel files, payslips, receipts and purchase orders, in a range of page sizes and formats.
We output the scanned information via OCR to searchable PDFs. These are accompanied by an excel spreadsheet containing indexing information for each file, to assist in uploading into the chosen document management system.
Following an agreed period the boxes which have been scanned are confidentially destroyed and Amec are supplied with a Certificate of Destruction. This solution has allowed Amec to have a comprehensive list of everything held in their archives, quick and easy access to their records and greatly reduced storage costs.
