Background
Blaenau Gwent County Borough Council is the governing body for Blaenau Gwent, one of the Principal Areas of Wales. The authority delivers services to Abertillery, Blaina, Brynmawr, Ebbw Vale, Nantyglo & Tredegar.
The Challenge
The Council produce a large quantity of Planning and Building Control Records and had a requirement for quick and easy access of this information by their Officers. Once scanned, the records would need to be retained in archive for the required period before being confidentially destroyed.
The Solution
Transmedia have carried out regular scanning of planning files for the Council since 2005 producing OCR’d searchable PDF’s with an accompanying CSV index file for import into Blaenau Gwent’s CIVICA document management system.
The planning files contain a mix of colour and monochrome images and also a number of wide format architectural drawings & plans which required specialist scanning.
As some of the files are ‘live’, a scan-on-demand service is provided where specific files requiring retrieval can be requested, scanned and e-mailed to the Council within a few hours. Once scanned the original records are held in our secure archive for the requested period of time before we receive written authorisation to confidentially destroy them.
